Optimizer – the innovative solution for Ophthalmology Departments

TASK
Bayer was looking for an innovative partner to support patient and disease management in Ophthalmology Departments. Ophthalmology is an important therapeutic area, where the company provided new and effective treatments for relevant disease, such as macular degeneration.
Many Italian hospitals that treat macular diseases, recognized as one of the main causes of blindness, are facing an exponential increase in the number of patients to treat, given epidemiology trends and new available therapies (+40% the increase in patient volumes to be treated by 2025).
A key challenge in Ophthalmology, over the next years, will be to find solutions to increase hospitals productivity. The Healthcare System, given the existing organizational and financial constraints, needs to find alternatives to reduce patients waiting times and provide the best available therapies.
 
Bip Life Sciences has been involved by Bayer in designing a solution to address the organizational challenges of Ophthalmology Departments.
 
ACTION
In a preliminary phase Bip studied patient management pathways with direct observation on the field. A relevant number of interviews were conducted with physicians, nurses and orthoptists, as main players and final users of the future solution. A clear picture of the patients flow within the Ophthalmology Departments was shared with a group of 15 Hospitals involved in the project, highlighting bottlenecks and main critical areas to be addressed by the new solution.
The analysis was the basis to develop Optimizer, a web-based application tailored to support the management of Ophthalmology Departments.
The full involvement of the Hospitals in the idea generation, development and test phases, has been the winning approach for the creation of an effective, vertical and tailored solution.
 
RESULT
Optimizer is a powerful patient management support system. Functionalities include:
optimization of available slots in the agenda to maximize productivity
scheduling of the annual treatment plan for patients according to therapeutic schemes
tracking of patient compliance and outcomes,
patient records storage and on line sharing with the clinical team.At the same time Optimizer is a strong support to data science, since it creates a patient database including all relevant information on the treatment evolution and clinical outcomes.
Nonetheless a tailored dashboard allows the monitoring of Department performance and organizational indicators to support a continuous review and optimization of resources allocation.
Today Optimizer is being tested and deployed by approximately 20 Italian Ophthalmology Departments. Through the international network of Ophthalmology Hospitals and thanks to Bayer, sponsor of the initiative, other countries are expressing a great interest to use the application and local adaptation is ongoing. The expectation is to use Optimizer to reach a significant change for a better patient management in Ophthalmology.
